The job of the Junior Inventory Associate is to help obtain and maintain the quality of data for our print, online, newsletter, Snapchat, and other product offerings. The ideal candidate will be able to manage their own day to day workflows, but also pivot quickly as priorities change while having a great attention to detail. A successful day in this position is securing missing data, inputting new data into our proprietary database, all while hitting turnaround times.

Responsibilities:

  • Maintain inventory of print and digital media. This includes:
    • Setting up and maintaining print and digital publications in our proprietary database
    • Contacting and maintaining working relationships with publishers regarding subscription problems and missing inventory
    • Managing and responding to internal requests from Sales and Client Services
    • Tracking purchasing records
    • Accruing media kit information for our database
  • Process print media with acceptable turnaround time and quality metrics. This includes:
    • Sorting and distributing mail as requested and making trips to the PO Box
    • Inspecting mail defects and report issues as needed
    • Entering media information into our proprietary information system
    • Identifying and labelling print attributes such as thick paper and scented pages
    • Operating a paper cutting machine to cut and/or unbind print publications and a high-speed scanning machine
    • Troubleshooting and escalating issues related to workflow and equipment, such as electrical cutters and scanners
  • Identify and record ad content on the Snapchat application
Requirements
  • Must be willing to come into an office at least 50% of the time
  • Excellent customer service and communication skills
  • Ability to learn technical processes and procedures quickly
  • Must be able to bend, walk, and carry heavy objects (up to 40 lbs)
  • Working knowledge of the Microsoft and Google Suite of programs
  • Strong written and verbal communication skills
  • Ability to multitask and work in a fast paced, change-centric environment
  • Excellent prioritization, problem solving, and decision making skills


Nice to Haves (but not required!):

  • Strong Proficiency in Excel
  • A minimum of 1 year related experience or study in database, inventory, or procurement management experience
