Office Coordinator

Responsibilities:

  • Serve as point-of-contact for all facilities-related issues and questions. This includes:
    • Managing relationships with all 3rd party vendors, such as building management, housekeeping services, and repair companies
    • Troubleshooting issues and taking corrective action when needed in a timely manner
    • Engaging in consistent communication with staff regarding issues and questions
    • Following up to ensure resolutions are acceptable
  • Manage a checklist of recurring facilities upkeep tasks. This includes:
    • Purchasing and stocking office supplies and pantry items
    • Maintaining a monthly supply, food, and beverage budget
    • Working with building management and outside vendors on facilities issues and upkeep
    • Completing routine and preventive maintenance on office equipment
    • Moving and re-arranging physical equipment, such as desks, phones, computers, and cables
    • Distributing all physical mail and deliveries to appropriate parties
    • Partnering with HR and/or Department Head on company event logistics, set up, and breakdown
    • Organizing common spaces
    • Performing general housekeeping
  • Conduct desktop support for IT issues. This includes:
    • Transferring WebEx recordings daily to our internal server
    • Troubleshooting basic desktop computer related issues, such as issues with keyboards, webcams, and phones
    • Helping employees connect to our wireless network
    • Maintaining and troubleshooting all printers and fax machines
    • Setting up hardware, such as phones and computers
    • Escalating complex IT issues to IT department
  • Assist, as needed, on facilities-related projects. This includes:
    • Serving as subject matter expert to help the Project Manager plan the project
    • Completing tasks, as assigned by the Project Manager
    • Escalating issues and problems to the Project Manager
    • Engaging in constant communication with the Project Manager regarding project progress and unexpected changes
    • Communicating lessons learned to the Project Manager to help improve future projects

Requirements

  • MUST be able to work 7AM - 4PM
  • 1-2 years in a facilities or office administrator role
  • Excellent written and verbal communication skills
  • Self-starter who is well-organized and pro-active
  • Ability to multi-task and work in a fast-paced, change-centric environment
  • Proven ability to manage a monthly budget
  • Ability to research problems and implement solutions
  • Must be reliable and punctual
  • Must be able to bend, walk, and carry heavy objects (up to 40 lbs)
  • Proficient in Microsoft Office
